What it does

Settling drivers from a calculator and a legal pad is where mistakes happen: a missed fuel-card charge, escrow that never quite adds up, an advance nobody wrote down. This spreadsheet keeps the loads, the deductions and the escrow in one place and prints a clean statement for each driver.

  • Settlement tab: choose the driver from a dropdown, set the period start and end, and the statement fills itself — gross pay, loads and miles in the period, the first 12 loads itemized, every deduction, escrow and net pay, with a signature line
  • Four pay models per driver: per mile on all miles, per mile on loaded miles, percent of linehaul (linehaul only, or linehaul + fuel surcharge + accessorials — your choice) and flat per load
  • Loads This Period tab (40 rows): date, driver, load #, origin, destination, loaded and empty miles, linehaul, FSC and accessorials — pay is figured from that driver's model and rate
  • Deductions tab (40 rows): cash advances, fuel-card purchases, extra escrow, insurance, plates, trailer and other, each dated and typed from a dropdown
  • Recurring per-settlement deductions on the Drivers tab (occupational accident insurance, plate payment, trailer rent) and automatic escrow withholding that stops when the target is reached
  • History tab (52 rows): settlement date, driver, period, gross, deductions, net and escrow, with totals and the running escrow balance per driver

How it works

  1. Download the .xlsx and open it in Excel, or upload it to Google Drive and open with Google Sheets.
  2. Type your drivers once: pay model, rate, escrow target and any recurring per-settlement deductions.
  3. Each week, log delivered loads on Loads This Period and any advances or fuel-card charges on Deductions.
  4. Open Settlement, pick the driver and period, print or save as PDF — then copy the totals into History to keep escrow balances current.

Who it's for

Small fleets (1–10 trucks) paying company drivers or leased owner-operators, and owner-operators who want a clean record of what they paid themselves. Works for any trailer type — the pay math is the same.

Questions

Does it work in Google Sheets?

Yes. Upload the .xlsx to Google Drive and open it with Google Sheets (File → Import). Every formula, dropdown and color is standard and works in Excel 2016 or newer, Excel for Mac, Excel 365 and Google Sheets.

Can I pay percent on linehaul plus fuel surcharge?

Yes. One setting on the Drivers tab switches the percent model between linehaul only and linehaul + fuel surcharge + accessorials for every percent-paid driver.

What is the refund policy?

Digital files can't be returned once delivered. If something in the file doesn't work as described, message us with the tab and cell and we'll fix it and send the corrected file — or refund you if we can't.
