What it does

Breakdowns cost more than maintenance. This workbook keeps the PM schedule, every repair bill and every tire for up to 10 trucks in one file, and turns them into the numbers that matter: what is due next, what each truck costs to keep rolling, and what maintenance runs you per mile.

  • PM Schedule: pick the truck and service item (oil & filters, fuel filters, air filter, DEF filter, coolant, transmission, differential, greasing, brake inspection, DOT annual, alignment, valve adjustment, APU, trailer PM — rename any of them), type the interval in miles and/or days and when it was last done
  • Next due odometer, next due date, miles remaining, days remaining and a color-coded status — OK (green), DUE SOON (orange), OVERDUE (red) — calculated against today's date and the truck's current odometer
  • You set the "due soon" window (default 1,500 miles / 14 days); a status-by-truck table shows overdue / due soon / OK counts per truck and the most urgent item fleet-wide
  • Repair Log: 100 rows for date, truck, odometer, shop, description, category, parts $, labor $ and downtime days → totals, running total, cost per truck, spend by category and repair cost per mile (per truck and fleet-wide)
  • Tire Log: 60 rows with an 18-position dropdown (steer, drive, trailer — inner / outer), brand, install date and odometer, cost and latest tread depth → miles on each tire, cost per mile, days in service and a REPLACE / WATCH / OK status at tread depths you choose
  • Fleet tab for up to 10 trucks: year / make / model, VIN, odometer when you started the log, current odometer; every "miles remaining" and "cost per mile" figure reads from it

How it works

  1. Download the .xlsx and open it in Excel, or upload it to Google Drive and open with Google Sheets.
  2. On the Fleet tab, enter your trucks and their current odometers (update the odometer whenever you log a repair).
  3. On PM Schedule, fill in each truck's service intervals from your maintenance manual and when each item was last done — the status column does the rest.
  4. Log repairs and tires as they happen. Totals, cost per truck, cost per mile and tire alerts update automatically.

Who it's for

Owner-operators and small fleets (1–10 trucks) who want to stay ahead of maintenance instead of reacting to it, and who want a real number for what upkeep costs per mile when they price a load. Works for tractors, straight trucks and trailers — the intervals are yours to set.

Questions

Does it work in Google Sheets?

Yes. Upload the .xlsx to Google Drive and open it with Google Sheets (File → Import). Every formula, dropdown and color is standard and works in Excel 2016 or newer, Excel for Mac, Excel 365 and Google Sheets.

Are the service intervals in the file the right ones for my truck?

The example intervals are typical numbers to show how the sheet works, not recommendations. Enter the intervals from your engine, transmission and truck maker's maintenance manuals (and your lease or warranty terms); the file calculates from whatever you type.

What is the refund policy?

Digital files can't be returned once delivered. If something in the file doesn't work as described, message us with the tab and cell and we'll fix it and send the corrected file — or refund you if we can't.
